Privacy Policy

KINDLING Global Summit ("the Summit") is organised by OPPNERGY. This policy explains what we collect, why, and what you can ask us to do with it. We keep it short on purpose.

1. What we collect

  • Your account: name, email address and a hashed password, or your Google account ID if you sign in with Google.
  • Your application: the profile, education, essays, project, CV and referee details you give us.
  • Payments: the amount, the date and the Stripe reference. Card details are entered on Stripe's page and never reach our servers.
  • If you are selected: passport details, flights, dietary and medical notes, an emergency contact and rooming preferences, so we can issue visa letters and look after you in Kuala Lumpur.
  • At the Summit: badge scans at registration and sessions, used for attendance and certificates.
  • The website: page views counted by the site itself, and, if you accept them, analytics and advertising cookies (see the Cookie Policy).

2. Why we use it

To assess your application, take payments, communicate decisions, organise travel, accommodation and visas, run the event safely, issue certificates, and follow up on the commitments delegates make. We do not sell personal data.

3. Who sees it

Our selection reviewers see your application without your name, email or country (blind scoring). Our finance and logistics team see only what their work needs. We share passport and travel details with the hotel, transfer providers and, when you ask for an invitation letter, Malaysian immigration. Payments are processed by Stripe.

4. How we protect it

Passport numbers and medical notes are encrypted at rest. CVs are kept in private storage that is never served from a public address. The admin panel requires a password and supports two-factor sign-in. The database is backed up daily, and backups are deleted after 14 days.

5. How long we keep it

Applications that are not selected are deleted 12 months after the Summit. Passport, medical and travel details are deleted 90 days after the Summit. Delegate records needed for certificates and alumni follow-up are kept until you ask us to remove them. Payment records are kept as long as accounting law requires.

6. Your rights

You can ask to see, correct, export or delete your data, or to withdraw consent for the delegate directory, at any time. Write to hello@oppnergy.com and we will reply within 30 days.
